Instructions for Preparing or Modifying a REPA Form in EGMS


General information

The EGMS 'Report of External Professional Activities' (REPA) is a new online version of the University form used to report external activities and interests.

Whether you have nothing to report or whether you need to report activities and interests, the EGMS REPA uses a streamlined process to ask only the questions that you need to answer. The REPA form is prepared using several short screens. On each screen, enter the information requested and click the Next button to continue.

If you have someone else prepare your REPA form, only that person (the form's "Preparer") can finish or correct the form. The Preparer is also to whom the REPA will be sent back if it is returned for revision during the review and approval process.

If you cannot complete a REPA form in one session, use the Save and Close button at the top of one of the REPA screens to save the information that you have entered. When you return to the EGMS REPA, you can either resume work on that existing form or start a new form.

Preparing a REPA form

  1. On the EGMS Home Page (http://egms.umn.edu), under the heading EGMS Forms, click on File a Report of External Professional Activities (REPA).
  2. On the Introduction to the REPA screen, click the Start button.
  3. Log in with your Internet ID and password.
  4. On the Select Individual and Reporting Period screen:

Modifying a previously submitted REPA form

If your form is in Returned Status:

If you are notified by e-mail that your form has been returned by a reviewer or a technical error occurred during the REPA submission process, you can make changes to the form and re-submit it for review and approval.

    1. On the EGMS Home Page (http://egms.umn.edu), click on EGMS Forms.
    2. Log in with your Internet ID and password.
    3. Click on Status of Requests on the Main Menu.
    4. Click on the appropriate form name hyperlink to access the one that you want to modify.
    5. Enter corrections in the appropriate fields.
    6. Click the Re-Submit Request button.

If your form is in Pending Status:

It is possible for you to make changes to a form when it is pending review but before it is fully approved. However, if you have already obtained any electronic approval signatures, returning the form for modification removes those electronic approvals.

    1. On the EGMS Home Page (http://egms.umn.edu), click on EGMS Forms.
    2. Log in with your Internet ID and password.
    3. Click on Status of Requests on the Main Menu.
    4. Click on the appropriate form name hyperlink to access the one that you want to modify.
    5. Click on Process to move to the Process option buttons.
    6. Click the Return Request button.
    7. Click on the hyperlink in Edit REPA for "Internet ID".
    8. Enter corrections in the appropriate fields.
    9. Click the Re-Submit Request button.
