The EGMS 'Report of External Professional Activities' (REPA) is a new online version of the University form used to report external activities and interests.
Whether you have nothing to report or whether you need to report activities and interests, the EGMS REPA uses a streamlined process to ask only the questions that you need to answer. The REPA form is prepared using several short screens. On each screen, enter the information requested and click the Next button to continue.
If you have someone else prepare your REPA form, only that person (the form's "Preparer") can finish or correct the form. The Preparer is also to whom the REPA will be sent back if it is returned for revision during the review and approval process.
If you cannot complete a REPA form in one session, use the Save and Close button at the top of one of the REPA screens to save the information that you have entered. When you return to the EGMS REPA, you can either resume work on that existing form or start a new form.
EGMS takes you to the Introduction to the REPA screen.
If you think that you need to file for a reporting period other than 2007-2008, call the REPA Policy Helpline at (612) 626-1462 for assistance.
If you answered "no" to all the general questions, EGMS takes you to the screen for submitting the REPA.
If you answered "yes" to one or more of the general questions, EGMS takes you to the subsequent screens needed to provide additional details about your activities and interests. Complete each of the subsequent screens offered.
Submission of REPA data takes approximately 1 minute. After the submission is complete, EGMS displays a completion screen.
On the REPA Completion screen, click the Close this Window button to exit the REPA preparation process.
Modifying a previously submitted REPA form
If your form is in Returned Status:
If you are notified by e-mail that your form has been returned by a reviewer or a technical error occurred during the REPA submission process, you can make changes to the form and re-submit it for review and approval.
If the REPA has been returned by a reviewer, click on History at the top of the form to skip down to the form's Request History. The reviewer who returned the form may have added a comment to the Request History as to why the form was returned.
EGMS audits the form. If the modified REPA passes audit, the Status is set at Pending. EGMS then sends an e-mail message to the first approver in the routing path, notifying the individual that this form is waiting for his or her review.
If your form is in Pending Status:
It is possible for you to make changes to a form when it is pending review but before it is fully approved. However, if you have already obtained any electronic approval signatures, returning the form for modification removes those electronic approvals.
EGMS audits the form. If the modified REPA passes audit, the Status is set at Pending. EGMS then sends an e-mail message to the first approver listed in the routing path, reinitiating the review and approval process.
