Instructions for Preparing or Modifying a REPA in EGMS
General information
The EGMS 'Report of External Professional Activities' (REPA) is an electronic form used to
satisfy the reporting of external activities and financial and business interests. In order to
satisfy your required reporting, you must submit your REPA even if there are no activities or
interests to report.
The REPA uses a customized format to ask for additional information for those General Questions
for which you answered "Yes". The REPA is prepared using several short screens. On each screen,
enter the information requested and click the Next button to continue.
If you have someone else prepare your REPA, only that person (the form's "Preparer") can
finish or correct the REPA. The Preparer is also to whom the REPA will be sent back if it is
returned for revision during the review and approval process.
If you cannot complete a REPA in one session, use the Save button at the bottom of one of
the REPA screens to save the information that you have entered before using the Logout button
at the top of the screen. When you return to the REPA, you can resume work on that existing REPA.

Preparing a REPA
- On the EGMS Home Page (http://egms.umn.edu), select EGMS Forms
- Log in with your Internet ID and password.
- From the EGMS Main Menu, select "Make A Request"
- Select "REPA" from the list of available forms, then click "Make Request"
- On the Introduction to the REPA screen, click the Start button at the bottom.
- On the Choose Individual and Reporting Period screen:
- Confirm or modify whose form you are completing.
- Click the Next button at the bottom of the screen.
- On the Select Reason for Filing screen, select "Annual Reporting" or "To report a new situation or change in circumstances".
- On the "Choose Appointment and Approver" screen, confirm that the appointment data listed on the screen is correct for yourself or
the person for whom you are completing the form.
- Choose the departmental approver for the REPA.
- Click the Next button at the bottom of the screen.
- On the General Questions screen:
- Answer all questions.
- Click the Next button at the bottom of the screen.
- If you answered "No" to all the general questions, EGMS takes you to the screen for submitting the REPA.
- If you answered "Yes" to one or more of the general questions, EGMS takes you to the subsequent screens needed to provide
additional details about your activities and interests. Complete each of the subsequent screens offered. Certain subquestions
require references to past REPA and ROC filings. You may find the information and links to these by going to the
Status of Requests link on the Main Menu at EGMS Forms.
- On the Submitting Your REPA screen, click the Finish button.
Submission of REPA data takes approximately 1 minute. After the submission is complete, EGMS displays a completion screen.
You may print a copy of the REPA for your records by selecting the PDF Version button near the bottom of the screen.
On the REPA Completion screen, click the Close this Window button to exit the REPA preparation process.
Modifying a previously submitted REPA
If your REPA is in Returned Status:
If you are notified by e-mail that your REPA has been returned by a reviewer or a technical
error occurred during the REPA submission process, you can make changes to the REPA and re-submit
it for review and approval.
- To modify a REPA with Returned Status:
- On the EGMS Home Page (http://egms.umn.edu), click on EGMS Forms
- Log in with your Internet ID and password.
- Click on Status of Requests on the Main Menu.
- Click on the appropriate form name hyperlink to access the one that you want to modify.
If the REPA has been returned by a reviewer, click on History at the top of the first
screen to skip down to the form's Request History. The reviewer who returned the REPA may have added
a comment to the Request History as to why the REPA was returned.
- Enter corrections in the appropriate fields.
- Click the Re-Submit Request button.
EGMS audits the form. If the modified REPA passes audit, the Status is set at Pending. EGMS
then sends an e-mail message to the first approver in the routing path, notifying the individual
that this REPA is waiting for his or her review.
If your REPA is in Pending Status:
It is possible for you to make changes to a REPA when it is pending review but before it is
fully approved. Caution: If you have already obtained any electronic approval signatures,
returning the form for modification removes those electronic approvals.
- To modify a REPA with Pending Status:
- On the EGMS Home Page (http://egms.umn.edu), click on EGMS Forms
- Log in with your Internet ID and password.
- Click on Status of Requests on the Main Menu.
- Click on the appropriate form name hyperlink to access the one that you want to modify.
- Click on Process to move to the Process option buttons.
- Click the Return Request button.
- Click on the hyperlink in Edit REPA for "Internet ID".
- Enter corrections in the appropriate fields.
- Click the Re-Submit Request button.
EGMS audits the form. If the modified REPA passes audit, the Status is set at Pending. EGMS
then sends an e-mail message to the first approver listed in the routing path, reinitiating the
review and approval process.
