Instructions for Creating or Accessing REPA Filing Reports

For compliance purposes, you can use EGMS to create custom reports listing all individuals within a department or college who have prepared REPA (Report of External Professional Activities) forms. In addition, at certain times of the year, you can use EGMS to access the REPA collegiate compliance reports.

To create a custom REPA filing report

If you do not find an expected individual on a custom report you create for a department or college, the individual either has not yet filed a form for the year by which you are searching or may have filed a form in a different department or college. To see if a particular individual has filed any forms, search for that individual by his or her Internet ID (see the directions in step 6 below).

  1. On the EGMS Home Page (http://egms.umn.edu), click on EGMS Forms.
  2. Log in with your University of Minnesota Internet ID and password.
  3. Click on View Requests on the Main Menu.
  4. Click the ‘REPA-Report of External Professional Activities’ line.
  5. Click the View Requests button.
  6. On the View Requests search screen, enter your search criteria.
    1. Use the Lookup button next to the department field to choose the department.
    2. Proceed to step 7.
    1. Click the down arrowhead to the right of the college/unit field.
    2. Highlight the name of the college/unit from the drop-down list.
    3. Choose a reporting year.
    4. Proceed to step 7.
    1. Enter the X.500 username (Internet ID) of the individual whose form(s) you want to list in the X.500 username field.
    2. If you do not know a person’s X.500 username, click the word here to access the University directory.

    3. Proceed to step 7.
  1. Click the Generate HTML Report button.

After a short delay, EGMS displays a table of the REPA forms that have been prepared that meet the search criteria.

If no forms are listed for the search criteria used, repeat steps 6 and 7, using different criteria in step 6.

To access REPA data or to print a REPA form

Use the instructions above to create a custom REPA filing report. In the right-hand column of the report, the RID number for a particular form may or may not be a hyperlink for accessing the form. You can access a form and view a form’s data if:

You can print any form with Pending or Approved status that you can access through a link on a REPA report. Printing of EGMS documents requires Adobe AcrobatÒ Reader software or a printer with Postscript capability. If the printing instructions do not produce the REPA form for printing, contact the REPA Technical Helpline at (612) 624-1600 or at repa@egms.umn.edu for assistance.

To access REPA data:

Click on the RID number link in the right hand column of the REPA report for the particular form that you want to view. Forms can be viewed but not approved through a REPA report.

To print a REPA form:

  1. Click on the RID number link in the right hand column of the REPA report for the particular form that you want to print.
  2. Click on Process at the top of the form to move to the Process option buttons.
  3. Click the View/Print Acrobat PDF button to create the form in Adobe Acrobat Reader.
  4. Use the Print icon in Adobe Acrobat Reader to print the REPA.

To access the REPA compliance reports

  1. On the EGMS Home Page (http://egms.umn.edu), click on EGMS Forms.
  2. Log in with your University of Minnesota Internet ID and password.
  3. Click on System Reports on the Main Menu.
  4. Near the bottom of the System Reports page, click on REPA Compliance Reports Menu.
